When you hire us, you hire us for development. So unlike other ERPs you might know, we don't charge per seat per month per year or anything of the sort. You paid us for development, implementation and other services like migration or deployment, but there is no subscription you have to pay to us. Once the project is done, the code is yours (but also read up on next question for licenses). The only thing you have to pay for every year is domain and hosting, and this can be paid through us or another service provider of your choice.
You can think of domain and hosting as renting a place for your code to live in. For your code to be accessible via the internet, they need an address (domain) and a proper house (host) that is connected to the internet. You can get domain and hosting through any vendor you like (e.g.: rumahweb, godaddy, etc) or if you want a one stop solution from us, ask our project manager for a quote from Benthic Box; our sister company for domain and hosting needs. You don't have to pay this if you plan to run your application on premise (the server is located inside your building, which might not be accessible via the internet).
Like we said before, once the project is done, the code is yours. You can modify it to suit your needs, copy it for personal or commercial use within your company and use it indefinitely. One thing that you are NOT allowed to do, is to copy the code (especially the Gemstone/Archelon Engine) for commercial gain; meaning you sell the framework of Gemstone / Archelon Engine as a product of your company. If you are not an IT company or agency, most likely this shouldn't affect how you can use the application you develop with us. If you are an agency and you want to redistribute Gemstone / Archelon Engine, reach out to us for a redistribution license.
While our QA team will work hard to make sure no bugs get away, we can't always be perfect. We usually bundle an implementation period for your development project, in which we will look for bugs together with the client. After the handover, we also provide a two month warranty period where you can report any bug findings and our team will fix them as soon as we can.
Being an agency ourselves, we would be lying if we didn't move our team to another project once we were done with yours. However, we are committed to maintaining a good relationship with our past clients, so feel free to report the bug (not QoL improvement, or requirement changes or additional features) to us, and we will be queuing them the next time we have available manpower to work on them. We also offer an annual maintenance package in which we will allocate our team to handle your bug report as soon as possible while also doing minor updates for your project (still, does not include additional feature development). The fees we charge for annual maintenance will vary based on how large the scope of the project and how often a maintenance is required. For more detail, ask our project managers for maintenance quote near the end of your project development.
We tried to make our code as clean and understandable as possible, as we wanted to make sure our team could get back into past projects quickly. That being said, not all projects will be well documented as it will take a while to document codes properly which might increase the cost of development. If you need documentation for the project, please let us know up front so we can assign our team to work on them. Please note that this will add extra costs to your project.
Yes. We usually include training sessions for users in our timeline and costing up to a limited amount of time. Please discuss this with our project manager at the beginning of the project to ensure your team gets proper training to use the system. For a refresher, additional training sessions could be requested at a cost.
